Here is a preview of what travelers see at different points in the Quest product experience

This article is designed to help administrators and travel managers understand the Quest product experience. In this article, we will cover:

  • The flight shopping experience

  • Welcome emails

  • Flight confirmation emails

  • Out of policy workflow and messaging

  • Rejection of flights

Traveler interface & the flight shopping experience

Travelers have restrictions when it comes to views and permissions. Travelers cannot see the Approvals, Team, or Reporting pages.

Quest users will be greeted with a flight shopping experience that is similar to what they see on an airline's website. We list all of the branded fares, from basic economy, through first class. This allows users to quickly compare prices without jumping to other sites. Quest admins have the option to hide low cost carriers like Spirit and Allegiant.

Welcome Emails

We understand that event coordinators and meeting planners want to control messaging. We do not offer the ability to customize any email templates. There are two main ways people get invited to join Quest.

From the Attendees tab inside of Event Settings

From inside of the Attendees tab, admins can invite people to join their company Quest workspace and attach to a specific trip. The email they receive looks like this:

Admins can also invite people to your company from the Team page on the left hand menu. Once the invite is accepted, the user will be a member of the workspace. They will not be attached to a specific trip just yet. We recommend only adding admins from the Team tab.

The name of the person that is "inviting the user" is the person who created the Quest workspace. Here is an example of a welcome email.

Confirmations

When a traveler books a flight on Quest, they will receive a summary of their reservation plus the confirmation number (PNR)on the checkout screen in addition to receiving it via email.

Here is what the checkout screen looks like inside of Quest for a flight that was in policy and got booked. Please note, that our team reviews every reservation. If a PNR was created, the traveler will be able to see their reservation on the airline website. They will be able to manage it after it has been ticketed, which can take up to 24 hours.

Travelers can be rest assured, if a PNR was created, the route, price, and seats were stored.

Out of Policy Workflows

Quest allows companies to create travel policies around how much travelers can spend, what class they can travel in, as well the times they are allowed to arrive and depart. Travelers can select reservations that fall outside of company policies and will be given the option at checkout to send the reservation to an approval queue, manned by their company admin.


At checkout, should a flight need to go to approval, their screen will look like this:

Should they make the selection and send it to approval, Quest will create a booking and place the reservation on hold. The admin will have 20 hours to either approve or reject the booking. If the admin does not get to the reservation in time, it will automatically cancel, and the traveler will be forced to log into Quest again, and reshop.

Let's say that the admin for this trip sees this request is over budget. The admin should reject it and tell the traveler the trip exceeded the budget, and they should select the option at checkout to PAY FOR THE UPGRADE.

The note will be passed to the traveler via email. The traveler will have to log back into Quest and make a new selection. Here is an example of the screen the admin will see:
