Quest is the easiest and most modern way to manage your everyday business and event travel needs. As a Quest user, you have a dedicated account manager as well as access to our 24/7 team to support you whenever and wherever you need assistance.
This guide will walk you through everything you need to get your company set up and ready to book travel in Quest.

Prior to booking travel we recommend you go through the below checklist:

Creating Your Company's Quest Workspace
You can set up your company's Quest workspace and sign in directly from the main AllFly website at allfly.io.
Understanding Workspaces
As a Quest user, you can belong to multiple workspaces. Each workspace represents a unique company or organization with its own travel policies, payment methods, and team members.
Example: Meeting planners who work with multiple companies will have access to multiple workspaces—one for each client they support.
One Email, Multiple Workspaces
A single email address gives you access to all the workspaces you belong to. Once signed in, you can easily switch between workspaces from within Quest, allowing you to seamlessly manage travel for different organizations without needing multiple accounts.
Updating Your Travel Profile
Once you create your Quest account, navigate to the bottom left corner of the screen to complete your travel profile.
Enter your personal information exactly as it appears on your government-issued ID, and be sure to add your loyalty program numbers for airlines, hotels, and car rentals.
Quest automatically passes along your loyalty information when booking so you earn points and miles on every trip, plus you'll be able to manage reservations directly with vendors to take advantage of upgrades and status perks.
Configure Your Company Travel Policies
Under the Settings page, admins can access and configure Company Travel Policies. Here, you can create a series of rules designed to keep your travel program in compliance and on budget.
Key Policy Features
Flight Budget Brackets
Quest allows you to set different budgets based on flight duration. We've simplified this into two categories: short haul and long haul flights. You can configure the distance threshold that defines each category. If you need a starting point, we recommend $600 for short haul and $1,200 for long haul flights.
Paid Seat Assignments
Unlike other platforms that treat paid seat assignments as upgrades or don't allow them at all, Quest gives you control. Enable this setting to allow travelers to select paid seats as long as they fall within your policy budget.
Refundable Fares
You have the option to require refundable fares for all bookings.
⚠️ Caution: This setting can significantly increase travel costs. We strongly recommend speaking with a member of our team before enabling this feature to understand the trade-offs.
Finding the Right Balance
Important: The more restrictive your travel policies, the more reservations will require approval—creating additional admin work and friction for your travelers.
💡Keep in mind that travel prices in the market are competitive; airlines and hotels typically price near each other to win business.
Setting reasonable budgets allows most bookings to stay in-policy and book instantly, creating a smoother experience for everyone.
Payment Options in Quest
Quest processes payments in two ways: ticketing fees and travel costs.
Ticketing Fees: These are billed monthly and charged automatically to the credit card attached to your workspace.
Travel Payments: Quest offers flexible options to fit your company's payment workflow.
Payment Methods
Individual Credit Cards
Perfect for companies that allow travelers to book using personal or company-issued cards and expense them back later. Travelers can easily download receipts from their Trips page for reimbursement.
Company Card
Ideal for smaller travel programs where a single credit card will be used for all company travel bookings. Simplifies reconciliation and keeps all charges in one place.
Wallet
Similar to a Starbucks account, companies can pre-fund a wallet and travel costs are automatically deducted from the balance. This provides predictable budgeting and eliminates the need for expense reports.
⚠️ Important: Our Split Pay feature—which allows you to split costs between travelers or departments—only works with the Wallet payment method.
Testing & Getting Familiar with Quest
Before inviting your entire team and booking live travel, we strongly recommend inviting 1-5 admins to test the platform first. Search for flights and hotels, proceed all the way to the checkout screen, and verify that everything is configured correctly and working as expected.
Your Workspace is LIVE from the moment you create it, so do not book the actual reservation until you are ready to travel.
Testing Flight Searches
Quest has direct connections with airlines to provide you with accurate, real-time pricing. When comparing prices with other platforms:
Select both departing and return flights and proceed all the way to checkout
Pay attention to fare classes—basic economy, main cabin, etc.
Compare prices at checkout, not during search
Many platforms (including Google Flights) display attractive BASIC ECNOMY fares on initial search results that disappear or increase as you progress through booking. The only true price comparison is at the final checkout screen where all fees, fare rules, and taxes are included.

Inviting Your Team to Quest
Once you've completed testing, you're ready to invite your team. Quest offers two ways to bring users into your workspace.
From the Team Page
Navigate to the Team page and generate an invitation link. Anyone who clicks this link will be able to join your workspace. This is the easiest method for inviting multiple team members at once.
From an Event
If you're managing event travel, go to the Events page, navigate to the Attendees tab in the event settings, and invite people via magic link. This method is perfect for adding attendees directly to a specific event.
