How guest travel works in Quest for events

AllFly allows travelers to bring guests as part of an event. Company admins have control over how many guests they will pay for.

Quest Events allows you to book guests on the same travel record as your own, meaning you can manage your entire party's itinerary in one place.

Most importantly, guests do not need their own Quest profile to be added to your booking.

The only exception is if your guest is departing from a different airport or requires a completely different flight schedule than yours; in this case, they will need a separate profile.

Please coordinate with your Event Admin before booking if your guest requires separate travel arrangements.


๐Ÿ›ซ How to Book for You + Your Guest

To ensure you and your guest are on the same record (itinerary), you must set your passenger count before you begin your search:

  1. Start in your Event: Navigate to your specific event in Quest and click to book travel.

  2. Adjust the Passenger Count: On the flight search screen, locate the passenger dropdown menu.

  3. Select Your Total Party: Choose the total number of people traveling (e.g., Select "2" for you and one guest). Quest will return flight options available for that total number of passengers.

  4. Enter Guest Details: During the checkout process, you will enter your guestโ€™s legal name and information directly into the booking flow.


๐Ÿ‘ค When is a Profile Required?

For the vast majority of trips, your guest does NOT need a Quest account. Their details are simply captured as part of your reservation.

The Exception: If your guest is traveling on a different itinerary than you (e.g., flying from a different city or on a different day), they cannot be booked on your record. In this specific instance:

  • The guest will need their own Quest profile.

  • You must contact your Event Admin or organizer before proceeding to ensure the guest is properly authorized in the system.

1. Mirroring Your Policy

The travel rules assigned to you for the event apply to your guest as well. This includes restrictions on:

  • Cabin Class (e.g., both must fly Economy).

  • Fare Types and Budget Thresholds.

  • Approval Workflows (if your trip requires approval, your guest's seat does too).

2. Who Pays?

Your company configures the event to determine financial responsibility. Depending on the setup, your guest's travel may be covered by the company, charged to your personal card at checkout, or subject to a price cap.
